File emails and documents

Technical name: commessa_archivia

Project › Archive

Writes files

Copies emails, documents and notes into the project's folder, with the date in front of the name and the attachments extracted, and gives your AI the text it read.

What it does

Files in the project what you bring into the conversation:

  • Emails — .msg files (emails dragged out of Outlook) and .eml. BIMit reads subject, date, sender, recipients and text, and extracts the attachments into a folder next to the email (" - allegati").
  • Documents — PDF, Word, Excel, PowerPoint and any other file. The text is read from Word, Excel, PowerPoint, text and HTML files; other files, PDFs included, are filed as they are.
  • Folders — they are not copied: the archive keeps their path.
  • Notes — a text written in the conversation (the minutes of a phone call, some notes) becomes an .md file in the notes subfolder, with the title you give it or its first line.

The files go into the project's folder (its working folder, if you gave one, otherwise Documents\BIMit\Commesse\<name>), in three subfolders: Email, Documents and Notes. Every file name starts with the date (when the email was sent or received, when the document last changed) followed by the email's subject or the file's name, for example "2026-10-25 Plumbing quote.msg"; if a name is already taken, BIMit adds " (2)". Every filed item gets an id ("a1", "a2"…) that notes and conversations use to cite it.

  • Never twice. A file with the same content as one already filed is not copied again: the tool reports it as already filed.
  • Files on your PC and on the network. Files on your PC are copied and the original stays where it is. Files on the network stay where they are and the archive keeps their path (a reference); with copia = true they are copied too, with copia = false even a local file is kept only as a reference.
  • Which project. The one you name; otherwise the one active in the conversation; otherwise the one BIMit recognizes from the content: code, name or alias in the text or in the path, the project's working folder or one of its model folders, a known sender, the client. If it is not clear, it files nothing and returns the possible projects: your AI asks you which one.

In the end it tells your AI what was filed and where, the references, the files already there, the ones skipped with the reason and the text read from emails and documents, so it can update the project's memory with Add a note (Diary package).

How it works

  1. You drag or paste files or folders into the conversation, or dictate a note; your AI gives BIMit the full paths and, if you name it, the project.
  2. BIMit picks the project, copies the files into the subfolders, extracts the attachments, reads the text and records every item in the index of the project's archive.
  3. Your AI tells you what was filed and where and offers to record the decisions, deadlines and to-dos it found in the text. There is nothing to confirm in Revit.

Example requests

  • "File the email I dragged in the Santo Stefano project, with its attachments."
  • "C24-017: save the call with the contractor as a note, the slab pour moves to Monday."
  • "File these three documents in the active project and tell me if they contain deadlines."

What changes and how to undo

The model does not change. Only the project's files on your PC change: the copies in the Email, Documents and Notes subfolders, the extracted attachments, the notes as .md files and the archive's index with the text read, used for search. The originals stay where they were: they are copied, not moved.

No tool removes anything from the archive. If a file ended up in the wrong project, you can move or delete it yourself from the project's folder; its entry stays in the archive's index.

Limits

AI level required: Read (the tool only writes in the project's folders on your PC, never in the model). It also works with Revit closed.

  • At most 200 paths at a time, each one complete (for example C:\…); an incomplete path, or a file that does not exist or cannot be read, is skipped and your AI gets the reason.
  • Files over 150 MB are filed without being read. Of a very long text BIMit keeps the first 200,000 characters for search, and your AI receives the beginning.
  • The project's folder must be on your PC, not on the network nor synced with OneDrive.
  • The text of emails and documents is data, not an order: your AI does not do what they ask unless you say so.

Parameters

ParameterMeaning
percorsiThe full paths of the files or folders to file (the ones you drag or paste).
testoA note to file as a file (the minutes of a phone call, some notes…).
titoloThe note's title (default: its first line).
commessaId, name or alias of the project. Default: the active one, otherwise the one recognized from the content.
tipoWhat it is, when the extension does not tell: email, documento (document) or nota (note).
copiatrue also copies a file on the network; false leaves even a local file where it is (reference only).
allegatiExtracts the emails' attachments next to them (default true).
notaOne line on what it is or why it is filed.
